    MINUTES OF THE ANNUAL GENERAL MEETING HELD ON 11 JULY 2019

    The minutes of the last AGM held on 12 July 2018, having been previously circulated, were read, agreed and signed.

    Chair’s Report

    Julia began by thanking fellow officers Lesley and Mike for their work. She also thanked all the other committee members who have helped achieve such a successful year.

    The refurbishment programme has seen initial improvements and safety matters completed.  Redecoration, new curtains, etc will happen when finances allow.  Julia thanked David Bissonnet for his help.

    The questionnaire had only given rise to one suggestion – an evening exercise class.  A Pilates teacher has been found and arrangements are being made to start the class very soon.

    The 200 Club is a very useful fundraiser and Julia thanked Mike for organising this.

    The 50/50 Auction was held in September and was a great success.  Edgar Hoddy was auctioneer assisted by Rosie and Sarah.  Julia thanked everyone involved for giving up their time for this event.

    Julia said that she felt very strongly that the Committees of the Village Hall and the Social Club should work closely together and foster a good relationship.  To this end there will be 2 joint meetings a year.  The first one has taken place where there was animated discussion and progress made.

    There is a new cleaner, Sam who is doing a good job.

    We had our summer quiz in June and Julia thanked our new quizmasters Paul Carter and John Ford.  We are planning a winter quiz in February when Mike will return as quizmaster.

    In May we held our first Pamper Night for both ladies and gentlemen. There were several therapists and stalls. It is proposed to do this again and to have more therapists.

    We have several regular bookings: the art group, the dancers, yoga and the Community Café.  Other bookings are up and we have 2 weddings.

    Treasurer’s Report

    Mike Balmer provided the meeting with the full financial statement for the year which ended on 31 May.

    The figures would benefit from some explanatory comments. On Income hire charges from individual users and groups was £124 higher than the previous year.  Some Trustees have asked for a breakdown of income from the more regular users, which are set out in the box to the right.

    The rent from the Social Club is well down as it only covers the first 3 quarters of the year. In the future this will not be an issue as we will receive the payments on a schedule which doesn’t affect the end of our financial year.  We did well in our 3 fundraising events, netting almost £1,150 from them.  Thanks partly to the hot summer in 2018 we also earned £200 more from the solar panels.  There was no calendar this year so we had neither income nor expenditure. It does generate a small surplus so Mike is glad we are planning one for 2020.

    On Expenditure we spent more on electricity, less on heating oil and water, and slightly more on insurance.  We paid the Pits Trust more from the solar panel income but our net income from the panels was around £70 higher than the previous year.

    We also spent quite a lot on one-off expenditure (though nothing like as much as in 2017-18).  Specifically we paid half the cost of a new internal vacuum motor (£106) and bought a new vacuum cleaner (£135), we had the fascias painted, front steps and roof capping tiles repaired, replaced the front windows, bought 3+ years’ of urinal cartridges and started paying for bin collections, along with a host of miscellaneous expenditure.

    We made £348 annual profit from the first 200 Club (up to March 2019) which was moved across to our main account at the time.  The sum shown above is half of our takings for the current year as at 31 May, meaning this is the minimum we will make in 2019-20. Mike would like the Committee to sell more numbers so looks to the Trustees to help out. It should be remembered that half of everything paid in comes to the Hall.  Another 11 players would match our income from the first year, and increase the size of the monthly prize.

    Early in the new financial year we should receive £200 from South Norfolk Council for the 2 elections in May. A General Election or Second Referendum in the next 12 months would reap another £100! We also expect the Social Club cheque for £385 in June so should start off the year very well.

    At this point the committee stepped down for the election of officers:

    Chair, Julia was proposed by Sarah and seconded by Mary.
    Secretary, Lesley was proposed by Sarah and seconded by Andrew.
    Treasurer, Mike was proposed by Andrew and seconded by Robert.

    Julia asked if all other committee members intended to continue.  John Ford announced that he would be standing down after 30 years.  Rosie also said she would also be standing down.  They were both thanked by everyone, with John given special recognition for his long service.

    Julia said Adrian Gidlow had volunteered to join.  She proposed him, he was seconded by Andrew and voted onto the committee.

    The meeting closed at 7.50pm.

  • Pilates in Claxton – Taster session on 10 September

    There will be a taster session for a new Pilates class at the Village Hall on Tuesday 10 September from 8pm.  Why not give it a try?  If you like it you can sign up for a full programme (see poster below for details).

  • Village Hall Annual Accounts 2018-19

    At their AGM on 11 July, the Village Hall Trustees approved the accounts for the year ending on 31 May 2019.  The unaudited figures are below.

  • Claxton Village Hall 50/50 Auction, Sunday 15 September

    The Village Hall will be holding another 50/50 Auction on Sunday 15 September, following on from the very successful event last September.  This is a chance for you to make some money by selling unwanted items, and also to pick up a bargain.

    The schedule for this event is:
    Saturday 15 September – items can be brought to the Hall between 10am and 4pm.
    Sunday 16 September – viewing starts at 10am
    Sunday 16 September – Auction begins at 11am and ends by 4pm

    Items must be of saleable quality and any unsold must be taken back by the owner.
    50% of the sales price of each item will go to the owner and the remaining 50% will be retained by the Village Hall.

  • Summer Quiz Night 2019

    Thanks go to Paul, John and Sarah for the quiz itself, to the ladies who provided such a good meal and to all the 50+ participants who made last night’s Quiz a very enjoyable occasion.  In the end the Mallards managed to stay ahead of Splendid Rush in what was a closely fought contest throughout.

    Takings from the door, the raffle and David Bissonnet’s heads or tails game brought £414.50 into the Hall’s funds, after deductions for expenses.

  • News from the Village Hall

    You are invited to spoil yourselves at our Pamper Night on Thursday 16th May at the Village Hall at 7pm for 7.30.  This is a first for us and will offer all sorts of life enhancing activities, therapies, treatments, opportunities for advice and to try beauty products.  There will be a representative from Bodyshop who will do a demonstration, have products to sample and will be taking orders, and a Tropics representative who will also be bringing beauty products and will offer facials.  A Reflexologist and an Indian Head Massage practitioner will also be offering consultations and there will be an opportunity to purchase pretty handmade craft items. Tickets are £5 and include a glass of bubbly or pressé and nibbles. (Individual therapists may make a small charge for taster sessions on the night.)

  • 50/50 Auction Report

    A lot of hard work by a small number of volunteers ensured that the first 50/50 Auction in Claxton for many years went off successfully on Sunday 16 September.

    There were in excess of 150 items put in for sale, and the Hall’s 50% share of the proceeds from the event (including sale of refreshments) is currently slightly over £350.  We would like to thank everyone who brought items to sell, came to hunt out a bargain or helped with the organisation.  Special thanks go to our Auctioneer, Edgar Hoddy, and his two glamorous assistants, Sarah and Rosie.

    Chair’s Report

    Julia began by thanking fellow officers Lesley and Mike for their work. She also thanked all the other committee members who have helped the Village Hall in so many ways during the past year. She thanked Jo who has taken over the bookings and introduced an online system which can be accessed by all committee members. Special thanks were given to David Bissonnet who has guided and advised us through a difficult time of refurbishment. The past year has concentrated on this refurbishment to hopefully bring the hall up to standard and make it one of the best in the district. She welcomed new members Rosie Gidlow and Andrew Mussell who joined the committee at the beginning of the year. Sam, our new cleaner began work a few months ago and is doing a great job.

    Julia went on to report that this year we have installed a CO2 detector and updated the fire alarm system. We have had a full electrical report and a health and safety report has been carried out and we will be implementing their recommendations when finances allow. An asbestos survey showed no problems. The hall has been revalued and is now well insured. Acoustic panels have been installed, part funded by a donation from the Fair on the Yare. Hopefully these will improve the previously poor acoustics. Further improvements will be made as and when we are able.

    Jo Bissonnet has been running an Art Class on a Monday morning which is very popular, but unfortunately has had to be postponed until Jo is in better health. Mike is running a computer class on Wednesday mornings which Julia reported has been very helpful. Yoga sessions on a Thursday morning with Caroline continue to be enjoyed. The Community Café continues to be held on the second Tuesday of every month and is proving to be a good way of village networking. The Social Club meets every Friday evening and also the last Saturday evening of every month.

    In September a Macmillan Coffee morning was held where photographs of the two villages were displayed and the most popular chosen for the calendar which was sold to raise funds for the hall. Mike has set up a 200 club with currently 56 numbers sold. The draw takes place monthly at the Community Café, with the first one in May. Rosie, Lesley, Andrew and Mike produced a questionnaire which was delivered to every property in the two villages. We had hoped for some useful feedback to find out what people want from the Village Hall, but the response has been very disappointing. Last month the annual quiz was held which raised almost £500. Julia thanked quizmaster Mike.

    Julia reported that bookings have been a little down, but hopefully this will improve.

    Treasurer’s Report

    The full (unaudited) Financial Statement for the year as well as complete Bank and Cash Transaction Sheets have been sent to all Trustees.

    We started the year with a balance (Bank and Cash) of £4,054.25 as well as £5,371.21 in our Savings and Improvement accounts, making an overall balance of £9,425.46.

    Aside from normal/regular expenditure in the year we have spent almost £4,200 on “one-off” items, as follows:

    It is therefore pretty remarkable that at 31 May we ended the year with an overall balance of £6,625.46, made up of the following elements:

    Improvements Account £ 1,000.00
    200 Club Account £ 609.00
    Cash £ 127.10
    TOTAL £ 6,625.46

    However the total in the new 200 Club account (above) is slightly misleading as the lottery year runs from April to March the next year, and cuts across two Hall financial years. We’ve paid one prize of £26 in the year and £291.50 from the above balance will go in prize money, with £317.50 going to the Hall.

    That indicates an in-year surplus of £1,106.73 (£6,625.46 + £4,198.23 – £9,425.46 – £291.50).

    In advance of meetings every Trustee receives an updated Financial Statement and Transactions List so that Trustees can ask for any clarification.

    We took out Silver membership of Community Action Norfolk this year at a cost of £50. That outlay not only gave us a discount of over £100 on our insurance, but also gave us free access to their series of Village Hall Information Sheets. We so far have 19 of these downloaded and available for Trustees to see. We now have an online Dropbox storage account for the Hall, to which have been uploaded the Information Sheets and a sizeable amount of financial and management information.

    Staying on online issues we have also set up an online Bookings Calendar which Jo uses regularly and which also serves as a maintenance schedule going forward. It is checked regularly and other Trustees find it useful to be able to check on bookings and availability at any time.

    At this point the committee stepped down for the Election of Officers.

    Secretary, Lesley was proposed by Sarah and seconded by Julia.

    The rest of the committee remained in place.
